We’ve built a diverse and specialized project leadership structure to support client needs at every level of complexity. Every project, budget, and need is different, and we do not apply a one-size-fits-all approach. Complex projects that span diverse stakeholders may require more analysis and management than more streamlined projects. We train and maintain a cadre of skilled professionals across all of the following project leadership roles.
- Scrum Master: Facilitates Agile ceremonies and ensures team output is showcased appropriately to stakeholders. They also manage and remove distractions and ensure team cohesion, which are both vital in achieving delivery timelines and goals within a given sprint or dedicated development period. They are ideal additions for complex or distributed projects, or projects with uncertainty or that will require iteration.
- Business Analyst (BA): Bridges the gap between business goals and development execution. Our BAs ask the right questions, surface assumptions, and ensure alignment across stakeholders with comprehensive documentation. Throughout development, they will ensure the business goals are met, resulting in meaningful features and higher delivery confidence. Business analysts are essential for teams where the business stakeholders are more distant from the technical organization and would benefit from exploratory conversations to help uncover their genuine needs.
- Product Owner: Focuses on delivering against a provided vision and high-level roadmap with a “what” and “why” of the product in mind. They align team efforts with market needs and customer expectations, continuously driving value.
- Product Manager: Partners with senior stakeholders to shape the vision across teams and product lines. This strategic leader ensures alignment with KPIs, mentors, and team members and defines innovative, functional solutions that form the product roadmap.
- Project Manager: Manages timelines, deliverables, and scope across a variety of stakeholders. Our PMs anticipate risks and communicate status updates to keep all contributors moving in unison. Projects with fixed scopes and limited iterations will benefit from a Project Manager.
First Factory Process

Project Kickoff: Setting the Tone
We start strong with internal and external kickoff meetings, setting expectations, introducing teams, and aligning on goals. Tools like kickoff templates, recorded sessions, and follow-up documentation ensure nothing slips through the cracks.
Agile Ceremonies That Add Value
- Daily Standups: A concise, 15-minute sync to share progress and flag blockers.
- Weekly Lead Check-ins & Executive Updates: Continuous alignment with stakeholders, surfacing scope changes, and mitigation plans starting early.
- Grooming & Planning Poker: Deep dives into future work, allowing time to ask questions and ensure readiness.
- Sprint Demos & Retrospectives: A chance to celebrate wins, show meaningful progress, and continuously improve.
All meetings are designed with intention—we respect team time and maximize effectiveness through preparation and prioritization.
Documentation, QA, and Transparency
From requirements to burn down metrics, our workflows are transparent. Teams rely on well-documented tickets, shared Gantt charts, and real-time updates to stay informed. QA is embedded into the process, with developers and testers aligned on expectations, outcomes, and accountability.
Tackling Risk Early and Often
Whether it’s escalating blockers during standups or revisiting sprint velocity goals in light of new information, we advocate for making intentional choices throughout the process. We don’t let projects drift—we steer them, together with our clients.
Integrated Design
Our designers are not on the sidelines. They’re embedded within the project team, participating in ceremonies and aligning visuals with functional requirements from day one—often before the engineers are introduced—in order to ensure clarity of product vision and to more clearly articulate an agreed upon roadmap.. They collaborate closely with engineering leads and PMs to ensure designs are achievable, scalable, and within scope—all while elevating the user experience.
